The Receptionist is responsible for ensuring the front desk welcomes clients, internal customers, visitors, and other guests of the organization positively and executes all administrative tasks to the highest quality standards.

All employees must agree to perform work out of town or at night, on the weekends and on holidays with short notice and for an extended period as needed.

Essential Duties and Responsibilities The following list includes essential duties and responsibilities. Other duties may be assigned.

Perform all activities in accordance with all policies, principles, and procedures established by Department,

Management and Board of Directors. 

Greet clients, visitors, and guests; determines the purpose of each person’s visit and notifies the individual or department that the visitor has arrived. o Customers ordering parts contact Residential Department Manager.

Receive payments from customers and or service technicians, contact Payroll & Benefits Manager or Sr. Human Resources Manager to pick up at the end of day.

 Answers, screens, and directs phone calls to staff; takes messages to email to the staff member.

 Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

 Receives mail, documents, packages, and courier deliveries and notifies the staff member to pick up at the front desk. o Contact the Payroll & Benefits Manager or Sr. Human Resources Manager to pick up all postal mail.

 Maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor book)

 Order front office supplies and keep inventory of stock. o Obtain approval from Payroll & Payroll Manager prior to placing order.  Order uniforms when needed. o Obtain approval from Payroll & Benefits Manager prior to placing order. Revised 2/28/2025 Sr. Human Resources Manager and CAO approved

 Responsible for work orders and PO handling.

 Performs administrative and clerical support tasks as directed/assigned.

Provide basic and accurate information in-person and via phone/email.

Education and/or Experience • High school diploma or equivalent required.

• Front desk: 1 year (Preferred) • Customer service: 1 year (Preferred) Language

Skills • Excellent communication and interpersonal skills.

• Bilingual (Preferred)

• Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Mathematical Skills

• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Reasoning Ability

• Ability to exercise excellent judgment, critical thinking and problem-solving skills.

• Ability to see the big picture and be attentive to detail.

• Possesses a high level of discretion with confidential information. Protecting confidentiality is expected.

• Possesses a high level of trust with handling cash, credit, and checks. Computer Skills • Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, etc. Knowledge and experience with QuickBooks is preferred. Other Knowledge, Skills or Abilities • Ability to establish relationships, build trust, manage conflict and influence others. • Exceptional organizational skills.

• High degree of professionalism.

• Proven ability to meet deadlines without reminders/prompting. Communication is necessary if unable to meet a deadline, prior to the deadline. • Professional attitude and appearance.

• Typically, in a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Work Environment
