Position: Event Assistant
Location: Madison, WI
Department: Events
Reports To: Event Manager

Position Overview:

We are seeking a highly organized and proactive Event Assistant to join our dynamic team. The Event Assistant will play a key role in supporting the planning, coordination, and execution of various events, including corporate events, conferences, trade shows, and social gatherings. The ideal candidate will have a keen eye for detail, strong communication skills, and the ability to work well under pressure.

• Event Planning Support: Assist in the planning and execution of events, including scheduling, logistics, and vendor coordination.
• Logistics Coordination: Help coordinate transportation, accommodations, and event space setup to ensure smooth operations before, during, and after the event.
• Vendor Liaison: Communicate with vendors (caterers, decorators, AV suppliers, etc.) to confirm service requirements and ensure event details are met.
• On-site Event Assistance: Help set up event spaces, ensure equipment and supplies are available, and assist guests during the event.
• Event Materials: Organize event materials, including signage, programs, and giveaways, ensuring they are ready for distribution.
• Administrative Support: Maintain event files, prepare reports, and handle other administrative tasks as needed.
• Post-event Follow-up: Assist with the breakdown of events, collect feedback from participants, and contribute to post-event reports.

• High school diploma or equivalent; additional coursework in event planning, hospitality, or a related field is a plus.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Ability to work independently and as part of a team in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
